CUSCIT’25 Cement Olympics – CANCELLATION AND REFUND POLICY
1. PURPOSE AND SCOPE
These Cancellation and Refund Conditions (“Conditions”) set forth the terms and procedures regarding the cancellation of participant registrations, fee refunds, and registration transfer processes for the CUSCIT’25 Cement Olympics congress (“Congress”), organized by Nurhan Gürel Reklamcılık ve Yayıncılık Hizmetleri Ticaret Limited Şirketi (“Organizer”), to be held between November 04-07, 2025, at Gloria Golf Resort Belek / Antalya / Turkey. All participants (“Participant”) who register for the Congress are deemed to have read, understood, and accepted these Conditions upon completing the registration process. These Conditions are an integral part of the Distance Sales Agreement concluded between the Participant and the Organizer.
2. CANCELLATION BY PARTICIPANT
2.1. Cancellation Request Method: Participants’ requests to cancel their congress registration must be submitted solely in writing (via e-mail), without necessarily stating a reason, to the official e-mail address of the Congress Secretariat: [email protected]. Cancellation notifications made by telephone or other means will not be considered valid. The date on which the cancellation request is received in the Organizer’s records will be taken as the basis.
2.2. Refund Conditions: Based on the Congress start date of November 04, 2025, the following refund conditions apply according to the date the cancellation request is received by the Organizer: * For cancellations made up to 60 days before the congress start date (i.e., by September 05, 2025, at the latest): The full registration fee paid by the Participant will be refunded, after deducting any bank transaction fees and/or commissions incurred during the payment or refund process. * For cancellations made between 30 and 59 days before the congress start date (i.e., between September 06, 2025 – October 05, 2025): 50% (half) of the registration fee paid by the Participant will be refunded, after deducting any bank transaction fees and/or commissions incurred during the payment or refund process. The remaining 50% of the fee will not be refunded. * For cancellations made 29 days or less before the congress start date (i.e., from October 06, 2025, onwards) or for cancellation requests received after the Congress has started: No registration fee refund will be issued.
3. REFUND PROCESS
Refunds processed in accordance with accepted cancellation requests under the above conditions will be made within 14 (fourteen) business days following the written confirmation of the cancellation request by the Organizer. Refunds will be made to the credit card used for the original payment or to a bank account (via IBAN) registered in the Participant’s name, as specified in writing by the Participant. Any bank charges, commissions, or transfer fees arising from the refund transaction will be deducted from the amount to be refunded.
4. TRANSFER OF REGISTRATION RIGHT
4.1. It is possible for a Participant to transfer their registration right to another person if they are unable to attend the Congress. 4.2. The request for registration transfer must be notified in writing (via e-mail) by the transferring Participant to [email protected] up to 14 days before the congress start date (i.e., by October 21, 2025, at the latest). 4.3. The notification must include the complete and accurate contact information of the new participant who will take over the registration (Full Name, Title/Position, Company Name, Invoice Address, Country, Telephone, E-mail). 4.4. No additional fee will be charged to the Participant for the registration transfer process. 4.5. The Organizer reserves the right to review and approve the registration transfer request for eligibility. The transfer may not be completed if the necessary information and documents are incomplete or incorrect.
5. CANCELLATION OR POSTPONEMENT OF THE CONGRESS BY THE ORGANIZER
5.1. The Organizer reserves the right to cancel the Congress or postpone it to another date due to Force Majeure events (natural disasters, epidemics, pandemics, state of war, terrorist acts, strikes, lockouts, situations preventing transportation or accommodation, legal regulations, decisions of official authorities, etc., events beyond the Organizer’s control) or operational reasons such as failure to reach a sufficient number of participants. 5.2. Cancellation of the Congress: If the Congress is cancelled by the Organizer, the full registration fees paid by all registered Participants will be refunded within 14 (fourteen) days following the announcement of the cancellation decision, in accordance with the refund procedure specified in Article 3. In such a case, the Organizer bears no responsibility or liability for compensation regarding transportation, accommodation, or other personal expenses incurred by the Participants. 5.3. Postponement of the Congress: If the Congress is postponed to another date, existing registrations will automatically be valid for the new date. For Participants who cannot attend the Congress on the new date, a refund may be processed based on the cancellation and refund terms specified in Article 2 of these Conditions or based on specific conditions determined by the Organizer for the postponement situation, provided they apply within the timeframe announced by the Organizer.
6. NON-ATTENDANCE (NO-SHOW)
Participants who have completed their registration but do not attend the Congress without submitting a cancellation request in accordance with the procedures specified in these Conditions will not receive any fee refund. The registration right is considered used.
7. RIGHT TO MODIFY CONDITIONS
The Organizer reserves the right to make changes to these Cancellation and Refund Conditions when deemed necessary. Any changes made will enter into force on the date they are published on the official Congress website, cuscit.com. It is the Participants’ responsibility to keep track of the current conditions.
